A “Wedding To Pay” For – Yet He Still Enrolled (CASH PT Case Study)

So the Accelerator Program is filling up fast…

…and just one of the reasons it does so is because it works to help CASH and OON PT’s become more successful…

What’s The Difference Between A PLAN – And A Marketing System?

In comes a question from a PT from Oregon just a couple of days ago:

“Paul, I am some-what confused over what is a PLAN – over a Marketing SYSTEM…

I hear you talk about both.

Can you shed some light on the difference between the two as I am pretty sure that I need both – I just don’t know which one to start with”.

– Mike, Turning Point PT, Oregon.

“Great question”!

And, let me answer it for you.

A Marketing Plan is something that acts as a road map – a route – a GPS – towards the target on the wall.

What’s the “target on the wall”?

Well, that could be something like $10,000 per month revenue from cash-pay patients, or direct-access type referrals.

If you are an In-Network Provider – setting a PLAN like this – and executing it – is likely to be the best money you’ll ever earn.

Why?

Because if 80% of your business, that is reimbursed by Insurance, is averaging $110 – and you can bring in an additional 20% of revenue at a cash-pay rate of, lets say, $170, then the additional $60 profit is all YOURS.

All of it.

This is called LEVERAGE – and it exists inside of every business when you choose to look closely at the REAL income streams happening in it…

(You do look at this, right?)

If you are a CASH-PAY clinic – having a Marketing PLAN is an absolute must…

…In-Network providers have an out-let – a “go-to”, if you like – in Doctors, so they can, for now, always fall back on the doctors-luncheon trap in the absence of a PLAN…

You and I don’t have that luxury.

So what is a Marketing System?

Well, a SYSTEM – that’s how you do the work of FULFILLING the plan…

A SYSTEM helps you to hit the numbers that you set out in the PLAN – more easily and faster.

So the inevitable question is, which one should you concentrate on first?

I guess that’s up to you to decide…

Will Your “Q2” Be Better Than “Q1”?

Let me tell you a story about “Ben Ramos”…

He’s a client of mine from San Diego – has a cash-pay clinic in the gorgeous little town of “Solana Beach”…

He emailed me just yesterday to say that he’d just had his first ever “FULL DAY” of paying patients:

“It felt good –
I paid my months rent in
just one day”!

He told me.

And he went on to say, “now I just need more days like that!”

More success stories:

In my Mastermind Program, each Friday we celebrate “Best Weeks Ever”…

…and what’s more, in the last Quarter, more than 60% of my group had their “best week ever”.

(I’m very proud of them all).

So here’s my questions:

What’s the key to “more best weeks ever” and more “full days?”

The answer?

“Having A PLAN”.

And working that PLAN.

Now, if you ask most business owners what they “want” – they really don’t know…

Sure, they’ll say “growth” or “more profit” – but nothing tangible.

There’s no real numbers…

…and because of there’s no numbers – there’s no PLAN to support the numbers.

This lack of a PLAN is also the primary reason why most business’s stop having best weeks ever…

…and, why many never get to experience what it’s like to have a completely full day.

“Is It Right For Me To Go Out-of-Network?”

“Am I doing the right thing
by going out-of-network”

…was the exact question I received from a client earlier today.

My response?

“I don’t know!”

…but the DATA will tell you.

Lets look:

If your cost of service is $100 – and your reimbursement rate is, on average, $95…

…then I’m not so sure you have a decision to make.

It’s inevitable that you will have to (go cash/OON) – and is why so many already are.

What I can help with?

Providing the strategy that will be needed once the decision is made.

Here are the two things that I KNOW make the difference (that will make the difference) to a successful transition to cash/out-of-network…

===

1.) A front desk person comfortable with handling money conversations – in the NEW economy, the “old fashioned” customer service girl simply wont cut it.

Sure, there’s room for her – out the front – but out the back, you need a strong person answering the phone, handling objections, afforded the luxury of the TIME it might take to tackle these money concerns or lack of understanding around what the OON or CASH pay model actually means – to them – as they currently see it.

Irony of all ironies in most clinics is this one thing, that makes the difference to being able to handle the cash pay objections – that is TIME – is not available.

Why?

Because the reimbursements are so darn low that they can’t afford the second person out back!

And,

2. Something called “deal-flow” – what is “deal flow”?

Well, it’s simply this:

A constant, never ending, rhythmical supply of new inquires coming into your practice, happening every day via direct marketing!

So, what do we have to do to get this constant supply of new leads” becomes the question…

I know the answer to this one…

It’s, get a Marketing Plan – create a Budget, forecast, work out WHO you want to target, what internal problems they are suffering with – craft a MESSAGE to resonate with them and place that MESSAGE on the right PLATFORM for as little cost as is physically possible – bringing in the best return possible for you bucks!

After 48 Days On Tour – What I Did On My First Morning Back To Work…

So after 18 HOURS of travelling from San Diego to Hartlepool via London…

…with 1 baby and 1 toddler in-tow…

…I’m “back at the day job” today! 😉

And after 48 DAYS on the road, it’s nice to be back in my UK office and doing what I love doing the most…

…and that’s continue to grow the Paul Gough Physio Rooms.

I started the morning with a meeting with my head of finance, Jonathan, to make sure the cash-flow is in the right direction…

…then I moved over to Operations dept. to talk to Vicki and make sure that the process and people side of the company were in-top shape…

…and then I moved to the Marketing Dept. for a meet with Amy.

And because we are moving into “Q2” (of the financial year)… we spent the time putting in place our Marketing Plan for the next 90 days.

First, we reflected on “Q1”…

“Did the Plan we created for “Q1”
produce the numbers that we
wanted for “Q1”?

… is the question I started with.

The next question I asked:

“What is the BUDGET for “Q2”?”

As in, what do we want to achieve and what needs to happen to make it a success?

Because once we know what we want to achieve (…the numbers) – we are able to set about creating a PLAN to give us the best possible shot of it actually happening.

(It’s much better than hoping and praying).

More:

We then break it all down into the different MEDIA that we will be looking to use ie. Facebook, Social, Newspapers, Google Ads, Email…

..the place that we will get our MESSAGE out to the perfect PATIENT…

And we work out how much we will have to spend on each on of the these PLATFORMS to bring in the desired number of LEADS.

Once I know what the numbers look like…

…I can start to set aside a financial budget – and my team can start to work the PLAN (without any further in-put from me).

That means creating the Facebook ads (or tweaking the ones we’ve got)…

…writing the Social Media content to support the up-coming Workshop…

…adjusting or scaling Google Ads to factor in that Q2 is often out busiest time of the year and so we want to CAPITALIZE on that and spend MORE, (not less), to make sure it stays that way.

All of this went on in less than 60 minutes…

We’re able to do it so routinely because we’ve been working from a PLAN for years now…

That means when it comes to each new QUARTER of the financial year, we simply sit down and build upon what we’ve got.

The problem for most PT clinics?

They don’t have a Marketing Plan to start from.

The “Wheel Of Engagement” – In Action

Comes a comment early this morning in my Facebook community following this weekends Mastermind Event:

What is the Wheel of Engagement??…

It’s the way in which you interact with
the same person more than once –
across multiple platforms.

It’s also the only way that you can realistically expect to be successful with direct marketing in 2017 (and beyond).

Let me explain more:

So in times gone by it was all about ONE newspaper ad…

ONE postcard…

ONE Facebook Ad…

ONE set of Google ads…

And so on and so on.

And you would judge the success of the ad – pretty quickly based upon how many people saw that exact ad…

“Dan Kennedy” and others told us to use call tracking numbers or links clicked on webpages that would allow you to track the success of the ad so that you could run it again – or can it!

These days??

One off ads are almost dead in the water!

Over to the Website to fill out a form and make an Inquiry…

PLUS,

She’d been seeing his remarketing ads all across the internet which 100% confirmed him as the expert she needed to see.

The result?

A brand new patient at a much higher price point than when running the “one off style ads”…

For context:

Mike was charging just $130 per session before his entrance in my Mastermind Program…

All of those touch points COMBINED is why he doesn’t get resistance at a price point WAY HIGHER than the average fee charged by most PTs…

Familiarity breeds trust – and when you have trust, it’s very easy for people to say YES!

And there’s something interesting…

The “price” that most PTs charge these days is round about the “average” of what everyone else charges in town…

…and yet they claim to provide a better than the rest type of service.

I don’t know about you – but I don’t know many businesses that are able to provide a better service than anyone else in town while charging the same fees.

Could that be why so many businesses go bust???

Why You Should Never Be “Selling Yourself” As A PT

So I spent the weekend hosting a “Q2 Mastermind Event” here in San Diego…

…39 of the worlds greatest Business Owners gathered together to discover what is truly possible for their business.

What is the purpose of a Mastermind Event – as I see it??

“To become AWARE of the things that
you don’t even know that are currently
holding you back from being successful in your business –
and THEN know what action to take once you do (become aware)”.

It’s also about being part of a likeminded community – here’s how day 1 ended:


That’s us all at the drinks reception – my boy “Harry” included – all yapping about what had been covered in the day.

One of the main topics we discussed?

The idea that you “have to sell yourself” to patients, if you want their custom at your clinic.

The reality of that statement?

Complete “BS”!

It comes wth the FALSE belief that people make decisions on things like your “skills”, how many CEU’s you’ve accrued, how many years “experience” you have, how many awards you’ve won and so on and so on.

Now a lot of people will push back at this statement…

But, and to give it some context – when was the last time you got on an Aeroplane and asked the Pilot how many flights he’s flown, how many hours in the flight simulator he’s had, when his last training weekend was – or even, when was the last time he’s actually flown this path you’re going on.

No body does that – and even if they do – there wouldn’t be enough to run a profitable airline.

How do we choose an Airline?

On the final DESTINATION.

We pick the place we want to go – we find the Airline that seems to be able to fit our needs best – and book it.

That’s it.

And so it is with PT…

Their decision to choose a PT (in the free market of direct access) is based upon their PERCEPTION of whether or not you can get them to their final destination (golf, cross-fit etc).

The easiest way to change their perception?

Talk about THEM.

(If the conversation is about you – you loose).

So when it comes to “selling yourself” – lets turn it on its head…

…and make the “selling conversation” about them and the DESTINATION that they – the people you serve – want to get to.

Do that, and watch how little energy you’ll ever have to use in selling yourself.

Greetings from “LA”.

It’s day 30/48 of the tour and here’s something I want to share with you today…

Work With Me In Alexandria, (VA) May 20-22nd?

Over the weekend  I’ve been at a Marketing Seminar in San Diego with some of my team – we’ve learned a lot.

One of the big take aways from the event, is this:

“Short-term Marketing – the sprint –
is a fools race”.

What I mean by that?

Let me explain:

It’s the process by which you take a sum of money, say $500, and decide to throw it at something like a few weeks of Facebook ads to “see how it goes”.

Then, judge the platform – and the likelihood of whether it’ll work for you – on the results of that $500 spend.

The reality?

Whether it does work – or it doesn’t…

…how successful you will be as a result of Facebook will not be determined by that one “ad” or $500 spend.

The real problem with this type of advertising?

More often than not – like 80% or more – it absolutely WILL fail – and when it does, you are tempted to walk away from it all together.

If it fails – does that mean Facebook (or Google, the newspapers etc) will never work for you?…

Of course not!

It just means that the ad you ran wasn’t part of a PLAN that you judge the success of over a definite period of time…

…a 12-Month PLAN that had many ads, all impacting each other, all having a compound affect on each other – and each significantly increasing your chances of success.

When you run “one-off ads” – you are hoping and praying.

When you have 3-4 things happening as part of a PLAN – you are sleeping much more soundly.

Want to know how I run all my ads?

It’s this simple:

I create a PLAN…

…I perfect the right MESSAGE to the right person…

…then I choose the PLATFORMS to run my ads on.

Next:

I IMPLEMENT the PLAN…

…then, most importantly of all – I MONITOR and ADJUST until the PLAN works.

It’s never a case of “will this work”…

…it’s ALWAYS a case of “what do we have to do/change/adjust to make this work”.

When you have a PLAN – it’s much easier to budget and forecast so that you can monitor and adjust accordingly…

When you set your business – and your Marketing Plan – up for the LONG-RUN…

…like 12 Months…

…an incredible thing happens…

You always beat the guys who forever take the short cuts trying to get to the same finish line.

And guess what?

Tour Update: House hunting in “Encinitas”, San Diego


It’s day 22/48 of the Tour.

I’m in Terminal 4, Gate B25, of Phoenix Sky-Harbour Airport – and I’m waiting to board my flight back to San Diego.

(Fish Taco’s for Dinner when I land 😉

In between new-house (…”Encinitas”) AND office hunting (…Downtown San Diego) on Saturday (…thanks to the help of top Chiropractor, “Ben Ramos”), I spent the weekend flying between Las Vegas and Phoenix…

I love life on the move…

Of course, it gets a little hectic – trying to run two businesses from the air (and an Uber) really stresses/tests how robust your businesses are…

But so far, so good.

Here’s a great picture of some TOP LAS VEGAS PTS that was taken in Summerlin, Las Vegas, on Friday night at the Nevada Meet-Up:

So the best of the conversations I’ve had this weekend??

Let me think…

Aaah yes, how about this one:

“The vulnerability that comes with
starting anything new – or worthwhile…”.

A lot of PTs are telling me that they feel overwhelmed right now at the prospect of having to change their business/marketing model…

Well, I know how that feels.

In my own life right now, I feel like I am almost starting again…

I am “walking away” from a successful 7-Figure business, a beautiful home, an office that I own and call my own, staff that I am familiar with – and a life that is, on paper, everything and more I ever dreamed of having…

These days?

I’m looking for a new office – likely to be shared with people I don’t know in a place far, far away…

I am up-rooting my family “6,000” miles across the pond – from living in a gorgeous home we call our own, to most likely renting a home, half the size!

I’ve got NO staff that I know, like or trust – so I am going to have to go back to hiring slow (maybe firing fast) methodology at the same time as learning Californian employment – and tax law…

I’m so far out of my comfort zone right now that if I didn’t have a very clear reason WHY I am doing what I am doing in starting a new business here in the USA, I think I might turn back.

So how do I continue to push forth??

I always go back to my “why”.

So what is my “why” for the disruption?

It’s to give my family the BEST POSSIBLE SHOT at an incredible lifestyle that would mean my kids spending more time outdoors (than indoors) – and me learning just how “good” I really am at this game of business…

I’ve done it in the one country – but can I do it on a global scale?…

(I’ll let you know, lol)

So whenever I get scared or a little confused about what I am doing this for – I just go back to the why.

If I can learn something about myself in the next 5 years – and if my kids and Natalie get to enjoy new experiences – and immerse themselves in a new culture that they’ll not get anything like or close to back home, then it’ll be worth it…

For you?

Maybe that’s part of what you gotta’ do, as well?..

Many of the people who follow my work tell me when we get face-to-face that they just KNOW that they need to do something – they just don’t know HOW or WHAT?

Yet when you have the WHY taken care of – the HOW becomes less challenging and the WHAT becomes obvious.

Viva Las Vegas! (…And Then Onto Phoenix)

So I’m sat in the departure lounge of San Diego Airport…

…hoping that my short 47 minute flight with “Spirit” will actually take off on time – and that I don’t get yet ANOTHER email from them in a few hours to say “we are sorry for the delay” and offer me a $50 credit off my next flight with them!

(Has happened a few times to me already lol 😉

Anyhow…

It’s day 18/48 of the Tour– and I’m flying in to give a talk later today on “Lead Generation” at the Jeff Moore/Jerry Durham Patient Experience Event happening this weekend…

I have “4” hours to talk on this subject…

…and interestingly enough, I’m only planning on talking on it for about 60 minutes.

Why?

Because before I can teach the HOW – it’s important to teach the WHY.

As in, WHY is Lead Generation Marketing so important to PTs NOW??

And that’s a fundamental aspect of ANYTHING that involves asking people do things – that is important to know and understand.

For example:

Before you tell me about your amazing treatment plan – tell me why I need it (… don’t take for granted that just because I am in your treatment room I know why I need you..)

Before you put out “5 Exercises for Achilles Pain” on Youtube – tell me why I need to do them in the first place…

Before you teach your staff a new way to answer the phone – tell them why the old one wont work any more…

And so on and so on.

Failing to TEACH THE WHY is a big reason so many people don’t get done – what they try to get done.

The reason oh so many people do not teach the why?..

1. A lack of understanding of how people actually make decisions

And,

2. A ‘perceived’ lack of time in how “busy” our lives are that we feel that we have to spend more time focusing on the HOW.

Could this be one of the reasons why so many business owners keep running in circles – never quite getting the outcome that the HOW they are teaching promises?…

Maybe.

Ok, so I gotta’ dash – looks like we are out on time.

San Diego PTs come out to play (PLUS, Marketing 4 the CrossFit Open)

“WOW”!

So what a great weekend we had here in “San Diego”…

I held another “Meet Up” – this time on the gorgeous Island of “Coronado” – and San Diego PTs did.not disappoint…

We had a table full of the best PTs (…and one very welcome Chiropractor) at the Hotel Del Coronado – some had travelled for miles to join us – and many made the most of the famous “champagne cocktails” on offer at sunset…

Here’s a photo that sums up the evening:

Now, what I love about doing these “meet ups” is that I get chance to sit face-to-face with you – my community – and the conversation is always so much more REAL when that happens…

And as I reflect on these evenings the next day, I always look for a stand-out conversation that I can share with you…

And on this occasion, I think it was the one, RE:

“Marketing for The CrossFit Open”…

…which was kick-started by my latest Podcast in which I shared with you a snippet from my recent 3-Day Marketing Workshop in San Antonio

In it, I spoke about the big-mistake that so many make when it comes to trying to Market to this community at this time of the year…

What mistake??

“To shoot from the hip”… as they say!

Meaning, that in response to an impending event – such as the CrossFit Open – a PT realizes that he/she should be “doing something” – anything – to Market to this audience to try to get some business!

The result?:

Often, very little.

And nothing happens simply because there is NO PLAN.

Just a somewhat “bodged” attempt to put out some content in the week before and hope that it catches the eye of enough athletes interested.

And sure, it might.

But it’s not going to catch the eye of ENOUGH to justify the activity…

Better to PLAN it, 3 months in advance…

…and create your content and ads according to the “place” and “state” that the CrossFit Athlete is in, during the run up to the event – and then after.

For example:

* In January: the content/ads should reflect that the Athlete is in “serious training” mode and you may wish to provide advice that assists this or their speedy recovery.

* In February: your content should reflect the fact that because so many Athletes have likely overworked your content offers “last-minute” injury recovery tips…

* And in March: your content reflects the fact that so many will be injured, feeling over-worked or completely burned out – and you offer advice to help them over come that.

If you executed on that type of PLAN – one that builds upon its self month on month – do you think you would be more successful than all of the other PTs who will be “shooting from the hip”, this week??

(Of course you would).

The same goes for ALL your Business and Marketing decisions.

When you have a PLAN – you win.

When you “shoot from the hip”, you miss.

It’s that simple.

Tour Update: Las Cruces > San Diego (+ Alexandria, VA, in May)

So the Tour is now at Day 11/48…

I’m sleeping in my 4th time time zone – and settled in my “second home” of La Jolla, CA, enjoying catching up with my family who arrived 3 days ago…

I have a “6” month old – and a “3” year old with me now – both adjusting nicely to life “8” hours behind that which they are used to…

(The nights are fun in our Apartment right now! 😉

The easy to find swing parks, beaches, fresh air – and soft and slow paced way of living here in Southern California make it very easy to settle my family into a place that feels more and more like home, every time we land back.

So what else have I been up to on Tour so far?:

Well, on Tuesday I got to speak in front of another group of amazing PT Owners in Las Cruces, NM…

I spoke for almost “3” hours…

And amongst other things, I reminded the audience that as you consider creating this often “elusive” thing called a Marketing Plan…

…it’s vital to factor in that not all patients are created equal. 

For example:

It’s easy to set out a plan that says we need “10” new patients this week…

And that’s fine.

But out of those “10” new patients, what’s important to factor in is where they are coming from…

Or, “how they show up”…

Because “10” new patients acquired via Direct to the Public Marketing – Facebook, Google, Newspaper etc, – probably requires that you need “30” or so inquires as not everyone who responds, will actually book.

And if you wanted to find those “10” patients from referrals from your past patients, then maybe you need about “20” inquires…

The % of inquires to converted patient from past patients is higher than from direct Marketing, but it’s never going to be 100%.

And if you’re still knocking on the doctors doors, then maybe you need about 15 referrals sent your way to hit you goal…

Now, what I’ve just described to you is what a lot of people are not factoring in to their Marketing Plan…

That there is a very different level of TRUST/SKEPTICISM that a patient brings to your office – based upon the HOW they arrived at your office in the first place – must be considered.

Most Business Owners think that their patients simply arrive in an Uber, a Taxi or in a Motor Vehicle.

That’s a naive (at best) way to look at it…

Amongst other things, they show up “ready to book”, “thinking that they might book”, and even “looking for any excuse to NOT book”…

People are predictable – AND irrational…

And it helps if you can know which one they are when they are calling your office…

…for if you do?

The ability to budget and forecast a Marketing Plan that actually hits target month on month – is much easier to come by.

And guess what??

Successful PT Clinic Owners – Stuck In “No-Mans Land”

“Hello from the other side”

It’s day 2/48 of my latest USA Tour.

It’s 4.38am CST (gotta’ love jet lag!) – and I’m writing to you from my hotel room, just 6 blocks away from Austin’s “The Capital” building, on Congress Street.

So far I’m “2 for 2” on old-pit style Texan BBQ food for dinner – and I’ve already had the pleasure of spending time with some of the best PTs in America…

Pull up a chair – and let me tell you more:

Yesterday I took a trip out to a town called “Lakeway” – the home of top PT “Paul Hendricks” who is the founder of “Body Balance PT” a clinic that is set up to help athletes and golfers.

Paul already runs an incredibly successful clinic and he invited me into take a look around and talk strategy for his businesses growth.

Pauls story was interesting – and very familiar to me:

See, he’s been growing his business for the last “12” years by “word of mouth” referrals…

And by his own admission, he’s done “ZERO” external Marketing.

I sensed a little hesitation in his voice as he said it – as if he KNEW, that he could and should of been doing more…

Now one of the things I always point out is that although “word of mouth” is obviously good for business…

…the problem is that it can be slow – and very unpredictable.

And this is, by the way, chief culprit and reason no.1 why most clinics do take 10,15, 20 years to get to the point where the business owner – you – can start to step back.

But my question to that business owner – and to Paul – is always this:

“Why wait 20 years?”

Or

“Who told you it has
to be that way?”

(Because it doesn’t – not in 2017).

And as I walked around Paul’s gorgeous clinic it was clear that he really is the REAL DEAL when it comes to his ability to help golfers both stay fit – and get fit!

So I asked him…

“How far do people travel
to come to see you?”

“From all across Texas”, he replied.

So it’s safe to assume that he’s pretty good at what he does (PT) – and people are talking about him…

My follow up question:

“What about all the 100,000’s of
golfers who don’t know you exist…?”

And my next question:

“What are you putting out on Social Media to connect with these golfers to show that you’re the expert – and how are you using Facebook to find more top golfers in the state?”

There was silence…

And then came the realization for “Paul” at just how much possibility lay ahead for his clinic’s growth in the next 12-18 months…

If he’s got this far without any Marketing, how far and how fast can he grow with the right Marketing Plan??

All that it takes to speed up clinic growth is the execution of the right Marketing Pan.

Without a Plan, it’s easy to get “stuck”.

And as I step-in-side and go eye-ball to eye-ball with PT clinic owners on this 48 day Tour, I suspect I am going to hear the same story daily…

A clinic doing “ok” – that has taken 10,15, 20 years to get going – and an Owner currently working too hard who now wants to step back to enjoy the fruits of his labor.

The big QUESTION is, then:

“How do you get across
“no-mans land”?

From that point where you have just enough referrals coming in to keep you busy…

…but not quite enough yet to feel comfortable in hiring another staff PT or front desk to do everything for you.

Is that you??…

Because the reality for most Business Owners is they stay STUCK in that “no-mans land” for years…

…and that’s because they don’t do the one thing that every single business on the planet has to do if they want to SCALE.

Which is???

Drum roll please…

“Acquire more new patients at a rate faster than they can accommodate the demand”.

And with things like Facebook, Google Ads, Newspapers (cheaper than ever), Re-marketing, Social Media, Emails, and countless other platforms to get your message out there to the right person you want to help…

…there really has never been a better time to run a PT Clinic – anywhere in the world – if you step out side of the “word of mouth” and “doctors luncheons” trap most are still stuck in.
